So your last team member has enrolled in their benefits, and you breathe a huge sigh of relief that open enrollment is over. But, while you should celebrate for a moment, it’s important to remember that your work isn’t done yet. Your employees will still need your support throughout the year. Here's what your employees need after open enrollment to get the most out of their benefits.
1. Post-Open Enrollment Benefits Communication
You worked hard before and during open enrollment to help your team members learn about, and choose, the right plans but they still need your help when it comes to actually using them. So, once the open enrollment frenzy has ended, be sure to tell employees to:
- Look for their new member ID cards in the mail.
- Create an online account or download the carrier’s mobile app to view and manage their coverage.
- Review their pay stubs to ensure their benefits deductions are accurate (and contact HR if there’s an error).
You should also give them a nudge to start tracking their health care expenses as soon as the new plans kick in. That way, they have a better idea of the coverage they should elect at next year’s open enrollment.
2. Continuous Benefits Education
Over the past several weeks, you provided your team members with a lot of information. And, chances are, they forgot some of the details. You can fill in the gaps by regularly sending educational resources about the benefits your company offers. Consider featuring one or two in an email each month, or during regularly scheduled meetings. That way, you can make sure your employees are getting the most out of their benefits without feeling overwhelmed by information.
3. Regular Benefits Reminders
Your employees lead busy lives, so they’d likely appreciate some gentle reminders to use the benefits they’ve earned. You can encourage them to do things like:
- Book preventative care appointments.
- Sign up for that employer-subsidized gym membership.
- Coordinate with their manager to schedule vacations.
- Take advantage of X, Y, or Z discount plans.
- Use the employee assistance program (EAP) to connect with various services and resources.
You should also reach out to team members who experience mid-year qualifying events and prompt them to update their beneficiaries and benefits elections as needed. Doing this will help keep benefits top of mind for your employees year-round, maximizing engagement.
Pro Tip: Make sure you are using various methods to communicate with employees. Some will respond better to emails, while others will prefer verbal reminders, or even texts. Reaching employees where they are will ensure your message is being received.
4. Give Employees A Voice
Your benefits package exists to attract and retain employees. To ensure that it remains competitive (and effective), you should poll your workforce soon after open enrollment ends. Ask them to rate their satisfaction with the benefits offered and leave a space where they can suggest changes or additions they’d like to see. You can also ask how they felt about the open enrollment experience and solicit ways to improve the process going forward.
Getting feedback will help employees feel valued. It will also be key to ensuring your benefits package appeals to current (and future) employees and will only help to make your company stand out from the competition.
5. Year-Round Benefits Support
Benefits can be complicated, so your employees are bound to need your support from time to time during the plan year. Reassure them in advance by providing them with easy ways to contact your HR & Benefits teams if they have any questions. Then, if you get overwhelmed by the volume of inquiries (or don’t know the answer to one), reach out to your broker or carrier customer service representative for assistance.
Pro tip: If you get the same questions repeatedly, publish an easily accessible FAQ document and encourage workers to check that before calling, emailing, or visiting.
